Getting started with Raken

Learn how to set up your first project with Raken.

Whether you’re in the field or at the office, you can get started with your first Raken project in just five steps.

1. Create your account.

First, you need to create your account. You can sign up for a Raken account on our website.

2. Create a new project.

To create a new project in Raken:

  1. Select the Projects tab.
  2. Click “+ Project” and add a name.
  3. Click “Create Project”.

Under Info, you can customize your project’s photo, location, and start date. The project start date is automatically set to the date you created the project in Raken, but can be changed.

To create a project, all you need is your project name. You can fill in more details later.

Once you’re all set, click “Save”. (Don’t worry—we’ll go over the other tabs next.)

3. Customize a daily report.

Raken is designed so that you can collect information while you walk the job site, and then sends your daily report to recipients at the end of the workday.

In addition to projects, you can also customize daily reports. That way, you get the information you need in a clean, branded PDF.

You can customize your daily report’s:

  • Info (i.e. general project information)
  • Settings (i.e. sections for crews to complete)
  • PDF & logo
  • PDF & logo

To edit your daily report’s format:

  1. Choose a project and click “Settings”.

    Raken Tip

    You can choose a project from three places: your Dashboard, the Projects tab, or the “Select project” dropdown menu.

  2. Then, select the Settings tab.
    1. From General, change the report’s date format, timezone, and automatic weather settings.
    2. From Daily Report, choose the sections you want included in the daily.
    3. From Survey Questions, specify the information you want field crews to record.
    4. From Daily Report Email Recipients, specify members to receive the completed report.
  3. Select the PDF & Logo tab to upload your company logo, and choose a header color.
  4. Finally, select the Notifications tab. Choose which members get notified when there’s a safety report or delay—or when a daily isn’t submitted.

Good daily reports act as a living record of your project. Here’s where you can really make sure all project updates are organized and thorough.

4. Invite teammates to your project.

Want more collaboration? We made it easy to invite crew members, office workers, and anyone else who needs access to your projects.

To invite teammates to your project:

  1. Choose a project.
  2. Click “+ Member”. Then, select “+ Company Team Members” or “Outside Collaborators”.

    Raken Tip

    Company team members can invite other collaborators—and manage or comment on anyone’s project activity.

    Outside collaborators (like subcontractors) have limited project access, and can only see their own activity.

  3. Search for a team member to invite. You can also invite new members by entering their name and company.
  4. Click “Add” for existing members, or “Send Invite” for new ones.

Don’t forget: Your field teams must download the Raken mobile app in order to accept your invitations. Make sure they get the iOS app or Android app.

5. View the completed daily report.

After your field crews submit daily reports on the mobile app, they’re automatically uploaded to the web app as downloadable PDFs. This makes it easy to keep all your documentation together.

Projects with PDF reports will have a check mark symbol. Otherwise, they’ll have a minus symbol.

You can find PDF reports from both the Dashboard and the Projects tab.

From your Dashboard

To view a completed daily report from your Dashboard:

  1. Find the project you want to view.
  2. Click the check mark symbol.
  3. View your PDF report.

From the Projects tab

To view a completed daily report from the Projects tab:

  1. Choose a project.
  2. Click “Reports”, then choose “Daily”.
  3. View your PDF report.

You can also download your PDF report—and send it to other members or your clients.

For mobile

1. Create your account.

To create your Raken account:

  1. Find the email from your project admin inviting you to Raken.
  2. Tap the “Let’s Get Started!” button to activate your user profile.

    Raken Tip

    You’ll be redirected to the web version of Raken if you don’t have the mobile app. Download the Raken mobile app before Step 2 if you want to sign in there.

  3. Create a password.
  4. From the mobile app, tap “Sign In”.
  5. Enter your work email and the password you created in Step 3.

After creating your account, you’ll see all the projects you’ve been invited to. The Sample Project is a dedicated space for you to explore Raken before documenting your actual projects.

Use the Menu icon in the upper left to access Settings, Help, and turn on “Support Offline”.

2. Create a project.

To create a new project in Raken:

  1. Select the Projects tab, then tap the “+” icon.
  2. Add your project name, number, address, start date, and photo.
  3. Tap “Save” then “OK” to confirm.

After creating your project, you can view the different sections to complete for your daily report—and other important documentation.

3. Complete a daily report.

Raken makes it easy to document who was on site and what work occurred.

Daily reports in Raken have four sections:

Work logs

Notes

Attachments

Survey

By filling out each section with the most up-to-date info, you can help ensure your projects stay on track.

First, select the project you’re currently working on. (We’ll walk through each section.)

Work logs

To enter a new work log:

  1. Tap the Work Logs section.
  2. Tap the “+” symbol in the lower right corner.
  3. Raken Tip

    You can also roll over the previous day’s work log by tapping the smaller “+” symbol in the upper right corner.

  4. Select “Standard (Default)” for the worklog type.
  5. Record the contractor and work performed.
  6. Add any relevant photos, videos, and attachments.
  7. Tap “Save”.

Notes

The Notes section helps you track general project notes and site observations.

To create a new note:

  1. Tap the Notes section.
  2. Tap the “+” symbol.
  3. Select the appropriate category (general, site safety, or quality control).
  4. Write the note description.
  5. Add any relevant photos, videos, and attachments.
  6. Tap “Save”.

Attachments

The Attachments section lets you pick four images to display at the top of your daily report. That way, you can best represent the day’s work.

To customize your attachments, select photos you’ve uploaded (or take new ones). Your report’s photos will change automatically.

Survey

In the Survey section, you’ll find the daily survey with questions about site safety, project progress, and more.

To complete a daily survey:

  1. Tap the Survey section.
  2. Tap “N/A”, “No”, or “Yes” for each question.
  3. Add any relevant notes or attachments.
  4. Tap “Save”.

4. Submit a daily report.

After you’ve filled out your daily report, you’re ready to submit it to the office.

To submit a daily report:

  1. Select a project.
  2. Tap “View/Sign Report”
  3. Check the preview to make sure all your info is correct. (If not, go back and adjust as needed.)
  4. Tap “Sign Report”. Then, digitally sign your name and tap “Verify”.

    Raken Tip

    Tap the check mark symbol to save your digital signature for future reports. When you want to use it, just tap “Quick Sign” instead of “Sign Report”.

Your report will be automatically sent to whoever your project admin specified.

5. Share a completed daily report.

You can also send completed daily reports to anyone else you need. Even those who don’t have the Raken app.

To share a completed daily report:

  1. Select a project.
  2. Tap “View Signed Report”.
  3. Tap the icon with the box and arrow in the upper right corner.
  4. Choose an action.
    1. “Share Link” creates a URL (or, web) link you can copy and paste.
    2. “Export Document” creates a PDF version of your report.
    3. “iCloud Drive” saves your report to iCloud.
